This Privacy Policy describes what information "Roster Bot" (the "Bot") accesses and how it is used. The Bot is operated by a single individual (the "Operator") for personal use in a small number of private Discord servers the Operator administers or is a member of. It is not publicly distributed or available for addition to servers outside this limited use.
When active in a server, the Bot may access the following information via Discord's API:
The Bot does not read, log, or store the content of text messages. Voice audio, if recorded during a session, is captured separately by a different Discord application (Craig) that participants explicitly invite into a voice channel for that purpose, and is not collected by this Bot.
Discord IDs, usernames, and nicknames are used solely to associate voice-session audio and transcripts with the correct participant, for the purpose of producing session records and summaries of game sessions for the Operator's and players' own reference.
Session transcripts (text derived from voice recordings, not raw audio) may be processed by a third-party AI service (Anthropic's Claude) to generate written summaries. No independently-collected personal identifiers beyond in-session speech content and associated display names are shared with this service. No data is sold, shared for advertising purposes, or provided to any other third party.
All data is stored on infrastructure owned and operated by the Operator. Data is retained indefinitely as part of a personal campaign archive unless a participant requests removal (see below), in which case identifying information tied to that participant will be removed from stored records within a reasonable time.
Any participant in a server where the Bot is active may request a copy of, or the deletion of, data associated with them by contacting the Operator at .siothrun .
The Bot is not directed at, and is not knowingly used to collect information from, children. Access is limited to members of private servers the Operator personally administers.
This policy may be updated from time to time. Changes will be posted at this same URL.
